Here are some answer to the most commonly asked questions about the OfficeMate Bridge, how it works, how to purchase, and what functionality it offers.

Q: Can I use this if my web site is not with EyeCarePro?
A: Yes, you can. Our Support Team can show you what you need to do to get it installed on your existing site.

Q: What if I use a different practice management software (i.e. NOT OfficeMate)?
A: Sorry, this functionality only works for OfficeMate users.

Q: How Does the OfficeMate Bridge Work? 
A: The Bridge is a piece of software that gets installed on your OfficeMate and 'bridges' the gap between OfficeMate and the web. It reads upcoming patient appointments and sends the data to EyeCarePro.net's servers, which then email the patients.

Q: Is all this HIPAA Compliant?
A: Yes, all data is securely transferred. Patients must authenticate themselves before seeing or updating any patient information and no personal information is contained in any email.

Q: Exactly how do the Appointment Confirmations work?
A: The OfficeMate Bridge is synchronized with OfficeMate to look 7 days ahead in your appointment schedule. Any upcoming appointment in which an email address is listed for the patient automatically receives an email reminder. The reminder asks the patient to confirm / reschedule or cancel their upcoming appointment. If the OfficeMate Bridge doesn't hear back from the patient, another email reminder is sent 5 days prior to the appointment, and 1 day prior to the appointment.

Once a patient confirms / reschedules or cancels their appointment, the patient record is automatically updated in OfficeMate. The patient's notes field and correspondence history are updated appropriately so your staff knows exactly what is going on. If the patient has confirmed their appointment, you'll see checkmark in the 'confirmed' field in your appointment schedule. It's all automated, so make sure your staff collects an email address for EVERY patient.

Q: And how do the Patient Registration Forms work?
A: Each reminder email includes a direct link to a secure Patient Registration Form. The patient simply clicks on the link in the email, and once they have authenticated themselves, they are presented with their pre-appointment Patient Registration Form. New patients complete the full form, while returning patients can update their existing demographic data.

Once the form is submitted, login to your secure EyeCarePro Administration area and view and approve the form. Once approved, the patient demographics are downloaded directly into Officemate's patient record. All data is secure, doctor controlled and HIPAA compliant.

Q: So, does the ENTIRE form get downloaded into OfficeMate? Or only PART of it?
A: Only PART of the form is downloaded into OfficeMate. All demographic data is downloaded into OfficeMate. The remaining information is available in EyeCarePro's Administration area online and can be printed out.

Q: Do you have a demo online where I can see what this is all about?

Q: How does it work exactly if I'm not an EyeCarePro client?
A: Practices with non-EyeCarePro web sites will receive a username and a password to an EyeCarePro account where they can manage their patient registration forms. Practices will also receive a patient registration form that can be integrated into their existing web sites. Our support team will help you through the process.

Q: What are the costs associated with the Bridge?
A: There is a set-up fee of $250 for EyeCarePro customers and $400 for non-EyeCarePro customers. Aside from the set-up fee, a practice can purchase as many credits as it needs (see next question).

Q: What are credits?
A: The Officemate Bridge works with credits. Each credit is $0.75. You can stock your account with as many credits as you need. Every time a patient confirms, reschedules or cancels their appointment - or your staff approves the download of demographic data from the patient registration form to OfficeMate - that's one credit. Only 1 credit to confirm an appointment and download demographic data... and a LOT of time saved! No more stamps, printouts, letters, phone calls or re-keying demographic data!
